1. Who we are

Site Office AI ("we", "us") is operated from New South Wales, Australia (business details available on request). We take our obligations under the Privacy Act 1988 (Cth) and the Australian Privacy Principles seriously. Questions about this policy can be sent to the contact address on this site.

2. What our free tools do — and don't do — with your information

The interactive tools on this site (for example, the Variation Claim Generator) operate entirely client-side, meaning the code runs on your device, in your browser. When you type job details, business names, client names, amounts, or anything else into these tools:

• that information is not transmitted to our servers;
• it is not stored by us in any database, log, or analytics system;
• it is not visible to us in any form; and
• it disappears when you close or refresh the page.

If you copy a generated prompt and paste it into a third-party AI service (such as ChatGPT or Claude), that interaction happens between you and that service, on their systems, under their privacy policy — not ours. We have no access to it and no control over it. We encourage you to review the privacy terms of any AI service you use, and to avoid including information in prompts that you are not comfortable submitting to that service.

3. Information we do collect

We collect personal information only when you actively provide it:

• Purchases. When you buy the toolkit, our payment and delivery provider collects your email address and payment details to process the transaction and deliver the product. We receive your email address and order details; we never receive or store your full payment card information.
• Contact. If you email us, we hold your email address and the contents of your message so we can respond.
• Email list. If you opt in to receive updates, we hold your email address until you unsubscribe, which you can do at any time via the link in any email.

4. How we use it

We use the information above to deliver what you bought, provide support, process refunds, send updates you've opted into, and meet legal obligations (such as tax record-keeping). We do not sell, rent, or trade personal information to anyone.

5. Third-party services

We use a small number of service providers to run this site and business, which may include a web host, a payment/delivery platform, and an email service. Each processes only the information needed for its function, under its own privacy terms. Some providers may store information outside Australia; where that occurs, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles. This site loads fonts from Google Fonts, which involves your browser requesting font files from Google's servers; that request includes standard technical information such as your IP address, handled under Google's privacy policy.

6. Cookies and analytics

Our free tools do not require cookies to function and do not store your tool inputs anywhere, including in cookies or browser storage. If we use website analytics, it is aggregate, privacy-conscious traffic measurement (pages visited, general region) — never the content you type into tools. We do not use advertising trackers.

7. Security and retention

We take reasonable steps to protect the limited personal information we hold, and we keep it only as long as needed for the purposes above or as required by law (for example, transaction records for tax purposes). Because our tools are client-side, the most sensitive information — your job and financial details — is never in our possession to begin with, which we consider the strongest protection available.

8. Access, correction and complaints

You can request access to or correction of the personal information we hold about you, or make a privacy complaint, by contacting us. We'll respond within a reasonable time. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC).

9. Changes to this policy

If we change this policy, the updated version will be posted on this page with a new "last updated" date. Material changes affecting how we handle information you've already given us will be notified by email where practicable.
